Frequently Asked Questions
How do I qualify for the ‘Expert Guarantee — No Visa, No Pay’ Promo?
You MUST apply and upload your documents via Visa Center PH’s website and/or mobile application ONLY. Otherwise, additional fees may apply. You should also comply with the required online assessment on or before April 30, 2024.
I have already paid the application & courier fee, but I want to cancel the application, will I get a refund of both fees?
A refund can only be applied to those applications that have not been assessed yet by UHI. Cancellation of applications that were pre-assessed and processed means forfeiture of fees.
I received a message that my passport is ready for pick-up, I already paid the courier fee thru the app but I decided to claim my passport to your office in person upon release. Can I get the courier fee refunded?
After UHI’s completion of visa processing, if applicant cancels his/her courier request, for whatever reason, there shall be no refund of courier fees.
I have already paid the application fee on the website/mobile app but decided to submit my documents to your office, in person for the pre-assessment. Am I still qualified for the promo?
Uploaded documents must be pre-assessed by our Visa Experts via our Visa Center PH website and/or mobile app ONLY. Otherwise, your application will not be qualified for the Expert Guarantee – No Visa, No Pay Promo and will be considered as walk-in application. Additional fees will be applied.
I saw the promo after Valentine’s Day, I have paid for my Japan Visa during Feb. 14, 2024. Am I still qualified for the promo?
Yes, all applications paid on February 14, 2024, are qualified for the Expert Guarantee – No Visa, No Pay Promo.
My application status is ‘for re-assessment', but I don’t want to comply with the documents being asked by the assessor and I plan to submit it directly to UHI office, will I still be qualified for the promo?
To qualify for the promo, applicants must comply with the online assessment and complete the process before submission of documents. If you did not comply with the re-assessment process, you waive your chance to qualify for the promo.
Until when can I submit and upload my documents in your Visacenter app?
All paid applicants must complete the uploading of documents on or before the deadline, April 30, 2024.
I availed your promo in your visacenter app last 2023, can I still use it if want to apply for Japan visa?
No worries, if your voucher has already expired, you may visit the UHI office and present your voucher copy and documents. Once the Assessor confirms that your voucher is unused, the voucher amount will be deducted to the regular fees, and you just need to pay for the difference.

Photo must be taken within the past six (6) months. A digital photo is not accepted. (You may refer to photo requirement guidelines on our website).
Where can I get the visa application form?

Is there only one (1) visa application form for all types of visas?
Yes, there is only one (1) visa application form for all types of visas. However, for applications for the extension of the Re-entry permit, a different application form must be used.
Do I need to submit ORIGINAL documents when applying for Tourist Visa?
Yes, you must submit complete and ORIGINAL documents except for the ITR which you may submit as a photocopy. However, for old documents (Birth Certificate from Local Civil Registrar, Form 137 and Baptismal Certificate), which are difficult to reproduce, you may submit a copy and attach a letter to explain the reason why you cannot submit the original.

PSA documents (Birth Certificate and Marriage Certificate) MUST be submitted in ORIGINAL and should be valid within 1 year.

In cases you cannot submit one of the required documents (except for PSA documents), please submit a letter to explain the reason you cannot do so. Incomplete documents will NOT be accepted.
Can I submit photocopied documents/letters?
No, all documents must be ORIGINAL unless otherwise stated with the exception of the following documents: Birth Certificate from Local Civil Registrar (NOT PSA), Bank book, DTI/SEC registration, Business permit, and ITR where you may submit a clear photocopy.
Can I get the submitted ORIGINAL documents back?
Once submitted, all documents for the application, except the passport, won't be returned. To ensure a smooth process, we recommend applicants to submit only PHOTOCOPIES of documents like DTI/SEC registration, business permit, and ITR. The Documentation Officer may find it difficult to distinguish between an original and a colored copy, so keeping it to photocopies helps in the identification process.
How will I know if I need to submit additional documents during online assessment?
Our Visa Experts will let you know via email, SMS, and your dashboard if you need to upload additional documents re-upload certain documents. Make sure to turn on your notifications!
I received an SMS and email from UHI that I need to submit additional documents after submission to Japan Embassy?
The Japan Embassy usually notifies us if they need additional documents to support the evaluation of your application. Visa Center PH will advise you via call, SMS, and email regarding the complete details of the additional documents needed by the Japan Embassy.

Applicants are given three (3) months to submit additional requirements. Otherwise, the application will be terminated.
Can we process our Tourist visa after payment in your Visa Center PH web and mobile app?
Yes, you can kick-start your online application through the Visa Center PH website or mobile application once payment has been verified. However, it's crucial to ensure that your travel is planned within the next three months to avoid any inconvenience caused by expired or invalidated documents. The Japan Embassy strictly permits applications with a travel date within three months from the application date. Failure to comply may result in a visa not aligning with your intended travel date.

Also, Multiple Entry Visas are not guaranteed even with a request.
Can I just pay when I submit my documents?
Promos are only available via our web and app. If you paid through our website or mobile app but wish to proceed with manual application and not online, regular fees will apply.
I have valid Japan Multiple Entry Visa, what will happen with this?
Previously issued Multiple Entry Visa can now be used to enter Japan as long as it is still valid.

If you still have valid Multiple Entry Visa in your old passport, you can still use it by attaching the old passport to your new passport if you will enter Japan since the Embassy does not transfer visa to new passport.
Why is my visa application rejected or denied?
The reason for the rejection is that your application did not meet the criteria for visa issuance. The embassy does not give a specific reason for the rejection because the information might be used to get around the visa examination process to enter Japan for illegal or unjust purposes. It would impede the proper visa examination process in the future and would have a negative effect on Japanese society.
